Three items for today. The monthly email to the reps, a My Quotes page in the app, and the lost order report. For each one we settle how it should work, and only what Marko says yes to gets built.
For Marko Koorneef and Brian Towler · Monday, November 2, 2026 · Working draft for discussion
Each rep gets his own quotes once a month, so the monthly review with Brian starts from the same list.
A page in the app with the rep's whole log. The first question is whether it is still needed once the email exists.
Brian's rules and his own workbook format, set by Brian on October 23. Open now is how often it goes, and what the reps are asked.
Each item may be a yes, a no or a not now. The smallest version of each comes first. Marko's written yes is the go for any build.
"Mike Anderson is asking for his quote log."
"We usually review their quote logs with them once a month."
"...access to their quotes then they can update them by themselves."
"Send the email the last day of the month."
"Please allow them to change the percentage or won, lost or dead themselves."
"...a new report every month with the current update of each quote."
"we should have an email or report sent to the directs and give them the ability to make changes."
Quoted from the Quote Log email thread (October 27 and 28, 2026) and Marko's email of August 19, 2026.
In the Manager Daily Mail to Marko and Brian only, in Marko's own sheet's columns. Marko and Brian change Target Close, Quote Status, Sales Rep and Agent in the app, and the change shows the next working morning.
Every rep's Daily Mail lists his open quotes that are due a follow-up, with the quote PDF.
He says it on the phone line, or in an app note that names the quote number. It goes on by itself, and Brian reviews at month end. Marko, October 2: "A is the decision. It does it automatically."
On the phone line he may hear the percent on any of his own open quotes. Marko, October 2: "for them to look at it. Yeah, that's fine."
None of the quote work changes a CRM record. Kim's CRM stays as she keeps it.
112 open quotes on the quote log on October 30, 2026 (Manager Daily Mail, Friday, October 30). Quotes from Marko and from our October 2 call notes.
On the last day of the month each rep gets one email with his own quotes, in the same columns Marko reads in Open Quotes, with a copy to Brian. He updates a quote the way he does now, on the phone line or in the app by quote number. No new screen, and nothing new for Kim.
| Option | What the email holds |
|---|---|
| A | His open quotes only, nearest target close at the top |
| B | His open quotes, plus the month's Won, Lost and Dead |
| C | His whole log, every quote on file under his name |
The next last day of the month is Monday, November 30, 2026, a weekday. October 31 was a Saturday.
The monthly email is enough. Reps keep updating on the phone line and in app notes, as today.
All his quotes and their PDFs, open ones first, nearest target close at the top. He changes nothing on it.
He sets his own percent, or marks a quote Won, Lost or Dead. The change goes on the next working morning.
"Quoted and lost to another machine manufacturer is lost."
"Quoted and dead is not lost in our world."
"Not Quoted and found they bought another brand in our tonnage range is lost."
| Section of Brian's workbook | Company | What happened | Machines |
|---|---|---|---|
| Quoted and lost | Stratus Plastics, quote 25508B | An XSE and a 25E, lost to Wittmann | 2 |
| Lost Orders, not quoted | Arlington Industries | Bought fifty 125-ton Milacrons | 50 |
| Total | 52 |
Rules from Brian's email of October 23, 2026. Rows from the October report in Brian's workbook format (quarterly tabs, a quoted and lost section and a not quoted section, with totals), which Brian read on October 23: "This looks good." The total is 51 if Stratus would only ever have bought one of the two. October's full report goes to Brian by hand.
| October note | What it says | What the rules need |
|---|---|---|
| Go Green Industries | Bought a used 50-ton a couple of years ago | Brand not given, bought used |
| Spark R&D | An old Toyo came with a company they bought | Tonnage not given |
| West Paw | Acquired a Toyo, unused for years | Tonnage not given |
| Oldcastle Infrastructure, Napoleon | Bought a used machine from a sister company | Brand and tonnage not given, bought used |
In or out? Each one is BOY's call.
October notes from the reps' own updates on the phone line and in the app, October 1 to 28, 2026. The Lost column is from the year's quotes table in the Manager Daily Mail of October 30, 2026.
